Who we are
PropertyWorx is software that Australian real-estate agencies use to manage rental properties. The agency is responsible for the personal information it puts into PropertyWorx about owners, tenants, applicants and suppliers; we process it on the agency's behalf. We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).
What we hold
Names and contact details of agency staff, owners, tenants, applicants and tradespeople; tenancy, rent and trust-account records; repair and inspection records; and a log of who changed what. Bank account numbers are encrypted. We don't sell personal information or use it for advertising.
Where it is kept
All data is stored in Australia (AWS and Supabase in the Sydney region). Email and SMS delivery providers may process message contents only to deliver them.
Rental applicants
Applicants are never charged to apply. When an application is declined or withdrawn, the applicant's personal details are removed six months after the decision. Approved applicants become tenants and their records are kept as tenancy records.
StrataWorks connection
If an agency connects StrataWorks (strata management software from the same team), only the lot number and the current tenant's name and email are sent to the owners corporation's strata manager, and strata job notices come back. The two products keep separate databases.
AI assistance
Some features draft text with AI hosted in Australia (Amazon Bedrock, Sydney). Drafts are reviewed by a person before anything is sent, and the content isn't used to train models.
Security
Two-step sign-in, encryption in transit and at rest, per-agency separation enforced by the database, and an audit log of every change.
Access, correction and complaints
To see or correct information about you, contact the agency that manages your property first. Our privacy contact address will be published here when legal review is complete. If you're not satisfied, you can complain to the Office of the Australian Information Commissioner (oaic.gov.au).
